Visiting libraries in foreign countries

Notes

  • Komaba Library does not inquire the visiting library/institution in foreign countries. Please check the policies and procedures by yourself.
  • The letter of introduction describes the name of the visiting library / institutino, your name, your affiliation and your status. If other information is required, please let us know.
  • The letter of introduction is issued in English. If you prefer a letter in Japanese, please let us know. If you need a letter in other languages, prepare a draft and a translation in Japanese or English in a text file.
  • Please be precise with your information, including spellings. Your application will be copied to the letter.
  • Komaba Library may ask you some questions. Please apply 1 or 2 weeks before the date you wish to get the letter.
  • Sample of the letter is available at the Reference Counter.

 

 

Apply by e-mail

You can request a letter of introduction by e-mail.
An e-mail must be in the following format.

Komaba Library will send you a receipt acknowledgment as soon as the e-mail arrives. If you don't receive any receipt acknowledgment after 3 business days, please contact Information Service Section.

E-mail subject:

  • "Application for a letter of introduction (overseas)  (Name, Use ID)
    • User ID" is a series of 10 digit numbers, your UTokyo Account or Library card ID.

E-mail must include the following information:

  • Name
  • Title [Mr./Ms.]
  • User ID
  • Affiliation and status
    • Specify your department, course, and grade.
  • The name of the library or institution [in English or local language]
  • The address of the library or institution  [in English or local language]
  • Website of the library/institution, if any.
    It helps us very much to confirm the information of the library/institution.
  • Date/period of visit
    • Usually, 1 month at the longest.
    • Komaba Library does not inquire about the visiting library/institution. Please check the policies and procedures by yourself.
    • The letter of introduction usually does not describe the date of your visit. If needed, please let us know.
  • Other information
    • If the visiting library/institution requires more information described in the letter, write them in English or desired language.
    • e.g., Title of the material, date/period of visit, research purpose.

Apply at a reference counter

Fill in the application form at the reference counter.
It is encouraged to search holding library's OPAC in advance and bring the printouts along.
